

Seasonal Administrative Positions
ANCHORAGE - Receptionist
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $9.25 per hour, training wage $7.15 per hour
HOURS: Up to 40 hours per week
JOB OUTLINE:
- Meet and greet clients at the front counter. Direct them to the appropriate person or department.
- Answer phone calls on a multi-line phone in an efficient and polite manner.
- Transfer callers to the appropriate extension (manager, supervisor, reservation agent, etc.)
- Log in and out all travel documents.
- Check and distribute faxes to the appropriate person/department.
- Promote and sell package tours for Gray Line of Alaska. Describe tours in detail and explain prices, policies and procedures.
- Work in the main office (downtown) assisting customers at the front counter and on the phone
- Assist pre-booked guests with questions, changes or concerns regarding scheduled tours.
JOB REQUIREMENTS:
- Attend mandatory training sessions for reservations (late April early May, evenings and weekends)
- Must have previous experience working at a multi-line phone or switchboard.
- Must be able to hear customer questions and answer orally with correct information.
- Ability to speak clearly in an easily understood and well-modulated voice.
- Must be able to read passenger documents and tour manifests.
- Use typical office equipment: fax machine, multi-line phone, copier, paper cutter, personal computer, typewriter, etc. This list is not inclusive.
- Interpersonal skills: must be able to work with a variety of co-workers, both inside and outside the Company.
- Wear required uniform.
- High school diploma or G.E.D. preferred.
- Required skills: great customer service, stress and time management, oral and written communication, typing skills and office systems.
- Flexibility a must!
- Willing to commit to a 100-day (minimum) employment contract.
- Additional duties will be assigned if work warrants. These duties may include typing, filing, or working in other departments.
ANCHORAGE - Documentation Coordinator
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $9.25per hour, training wage $7.15 per hour
HOURS: Up to 40 hours per week
JOB OUTLINE:
- Coordinate welcome packet production
- Research tour patterns of arriving guests
- Provide documentation on guest related research
- Print packet labels
- Other duties as assigned.

- Must be able to keyboard 140kspm
- Must have familiarity with MS Office and associated applications.
- Required skills: Teamwork, professional oral and written communication, time and stress management.
- Must be able to read daily dispatch, documents, passenger manifests and other company related materials.
- Ability to work independently and as part of a team with a variety of co-workers within and outside the Company.
- Demonstrate confidence and professionalism in public interaction, phone conversations and customer service.
- Willing to commit to a 100-day (minimum) employment contract.
- Must be 18 years of age with valid driver's license and a clean driving record to qualify to drive company vehicles
ANCHORAGE - Documentation & Logistics Coordinator
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $9.25per hour, training wage $7.15 per hour
HOURS: Up to 40 hours per week
JOB OUTLINE:
- Responsible for motor coach assignments and welcome packet research.
- Review itineraries for all incoming and departing Gray Line of Alaska guests to ensure they have smooth transitions while staying in Anchorage.
- Responsible for confirming Land Excursion bookings in the Anchorage, Alyeska, Seward, Whittier, Cooper Landing, and Homer area.
- Ultimately responsible for coordinating the printing of boarding passes
- Other duties as assigned

ANCHORAGE - Documentation & Logistics Supervisor
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $13.00per hour, training wage $7.15 per hour
HOURS: Up to 40 hours per week
JOB OUTLINE:
- Supervise the documentation and inventory department. This includes welcome to production, motor coach assignments, documentation delivery, and guest information flow.
- Delegate tasks to documentation and logistics staff.
- Payroll for documentation and logistics staff.
- Production key Account, groups, and charter report.
- Create ship debarkation manifests
- Oversee the filing and distributing of hotel manifests to front line staff.
- Oversee communication to frontline staff regarding key accounts, groups, and charters.
- Other duties as assigned

SKAGWAY - Accounting Clerk
Full-time Seasonal Position (May 5 - September 24)
RATE OF PAY: $12.00 per hour
HOURS: 40 hours per week
JOB OUTLINE:
- Processing, reconciling, preparing deposits, and transactions.
- Maintains company’s payroll alongside the Operations Manager.
- Performs basic clerical duties required by Department Manager.
JOB REQUIREMENTS:
- Organizational skills.
- 1-year experience in positions involving clerical, bookkeeping, or accounting/finance.
- Proficiency in the use of computer business applications.
- Excellent communication skills and previous cash handling experience.
- Data entry.
Weekend Cash Auditor/Rail Accountant
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $9.50 per hour
HOURS: 20+ hours a week
JOB OUTLINE:
- Audit, process and deposit all monies that come into the Anchorage office for Gray Line of Alaska, McKinley Explorer and Portage Glacier Cruises.
- Prepare and distribute cash banks for all departments.
- Close out all credit card machines on a daily basis and submit batches to the processing center.
- Cash out all credit card tips for wait personnel for the McKinley Explorer.
- Maintain and provide sufficient change funds for all departments.
- Work Saturday and Sunday, 5AM-3PM.
- Other duties as assigned.

Rail Accounting Clerk

JOB OUTLINE:
- Audit and process daily sales report of food, beverage and sundries on the McKinley Explorer rail cars.
- Determine total sales for each car and crew. Compute cash overages and shortages for all rail personnel and determine daily pull costs.
- Compile sales reports and distribute to key personnel. Maintain record of all cash and credit card tips for wait personnel.
- Work closely with Rail Manager in problem solving.
- Work Monday through Friday, 6AM-3PM.
- Other duties as assigned.

- Audit and process motorcoach trip envelops.
- Enter trip data into computer system.
- Code to appropriate revenue accounts.
- Invoice motorcoach charters and ship transfers.
- Monitor outstanding accounts receivable.
- Work Monday through Friday 8AM to 5PM

Accounts Payable Clerk
Full-time Seasonal Position (Mid May-Mid September)
RATE OF PAY: $9.50 per hour
HOURS: 40 hours per week
JOB OUTLINE:
- Maintain accounts payable for all entities within the Anchorage division
- Process all purchase orders, match with original invoices, enter invoice data and transmit batches to Seattle for payment.
- Reconcile statements monthly and research any aged, unpaid invoices.
- Process imprest checks issued by the Anchorage office weekly and submit request for reimbursement to Seattle.
- Work closely with Department Managers and the A/P Department in Seattle to invoice research and other problem solving.
- Work Monday-Friday, 8AM-5PM.
- Other duties as assigned.
